How club organisers renew a member's paid membership, understand the billing-period options, and mark a membership inactive.
How to renew memberships
This guide is for club organisers of clubs that charge for membership. Renewing a membership records a member's paid membership period so they keep priority access to session places before the cut-off.
Renewing records the membership period only. Courtex does not collect or process payment for it — you take payment however your club already does, and record the membership period here.
Before you start
- Renewal applies only to clubs with paid membership enabled. For a club with free membership, every accepted member already counts as a member, so there is nothing to renew. You can still remove a member from the members list in the usual way.
- The member must have a user account linked. A member row that shows No user account linked cannot be renewed.
Renew a membership
- Go to your club page and open the Members tab.
- Find the member in the list. Their Membership column shows their current state, such as Pending, Active until {date}, Expired {date}, or Inactive.
- Click Renew in their row.
- Optionally set the Payment date. Leave it blank to use today. The date cannot be in the future.
- Click Confirm renewal.
The membership becomes active from the payment date and runs to the end of the club's billing period (see below). A confirmation line appears under their status, for example Active until 31 Dec 2026.
Accepting a membership request adds someone to the members list, but it does not activate a paid membership period. Renewing is the step that does.
Billing-period options
Your club's billing period controls how far a renewal runs. An administrator sets it in the club settings.
- Calendar Year (Jan–Dec) — the membership runs to 31 December of the payment year. Use this if your club's membership year matches the calendar year, so every member renews to the same end date.
- Rolling (from payment date) — the membership runs for one year from the payment date. Use this if members join at different times of year and you want each renewal to last a full 12 months from when they paid.
- No billing period set — renewal runs for one year from the payment date, the same as a rolling period.
If the billing period is not what you expect, check with a club administrator before renewing.
Mark a membership inactive
Marking a membership inactive stops the member's priority access immediately, without deleting the record of their last paid period.
- Go to your club page and open the Members tab.
- Find a member whose status is Active.
- Click Mark inactive.
- Confirm by clicking Yes, mark inactive.
What this does:
- The member no longer takes a confirmed place before a session's cut-off. From their next RSVP they are treated as a non-member, and can join the waitlist.
- Their membership dates are kept, so the Membership column still shows when their last period ends. This is the record of what they paid for.
- The member stays on your club's members list.
- It happens straight away. Nothing is emailed to the member.
To reverse it, renew the membership. Record the new payment date and the member becomes active again.
