The problem
How are your courts booked right now?
Most venues run their courts on a set of tools that never quite meet. Bookings arrive by phone call, by email and at the front desk. Someone writes them into a paper diary, someone else keeps a spreadsheet, and half the regulars get their usual slot by asking the same staff member every week.
Phone calls
Bookings taken at the desk or over the phone, written down wherever there is space.
Desk and phone
Booking requests sitting in an inbox, waiting for someone to action them.
Inbox only
Paper diary
The front-desk diary, where bookings get written in pen and stay put.
Front desk only
Spreadsheet
Someone else’s parallel list of the same bookings, updated when they remember.
Parallel list
Four places, one court, the same Thursday night — and nothing reconciles them.
It mostly works — until two people want Court 4 at 8pm on Thursday. Then a staff member has to work out who asked first, ring someone back, and hope the diary was up to date. That is the cost of a booking system that lives in four places at once.
Court booking software puts courts, prices and availability on one view, so a booking is made once and everybody sees the same thing.
Court management
Configure your courts, surfaces and pricing
Set your courts up once and the rest of the booking flow follows from them. Each court is described the way your customers need to understand it — including the surface they will be playing on.
Pricing is where most venues differ from each other, so you set it here too. Member pricing and casual pricing can be held separately, each with its own hourly rate in the currency you operate in. If your courts cost more on a Tuesday night than a Sunday morning, that is a price you define rather than a rule you have to remember.
Price rules let you override an existing price when it matches the conditions you set, such as particular days, times or date ranges. Priority decides which rule wins when more than one applies, so peak pricing, off-peak pricing and holiday pricing can coexist without anyone doing arithmetic at the desk.
Availability
Court scheduling and availability
Availability is set by your opening hours, so the booking flow only ever offers a court when you are actually open to hire it. A customer picks a start slot and an end slot on the same court, and the rate is applied from the pricing you configured.
Before a booking is accepted, Courtex checks that court’s existing bookings for an overlap. The same court and time cannot be sold twice, which means no double-bookings to unpick on the night and no apologies to a club that turned up to a court someone else already had.
Bookings move through pending, confirmed and cancelled states, so you can see what has actually been secured and what is still to be settled.
Online bookings
Let players and clubs book your courts
Casual players can see what is free and book it themselves, at any hour, without a phone call. That is the simplest thing a booking system can give a venue back: the time your team spends answering the same question about Thursday availability.
Clubs are a different kind of booking, and Courtex treats them that way. When a club books your court for a session, the booking is tied to that session. The court is held against something the club can see and manage, rather than existing as a line in a diary that only your staff can read.
Both arrive in the same view, so you are not managing club bookings and casual bookings in two different places.
Payments
Take payment as part of the booking
Payment runs through Stripe checkout and stays attached to the booking it was for. You are not reconciling a booking list against a separate payments list at the end of the week, because the two were never apart.
Cancellation policies let you set the rules that apply when a booking falls through, and booking terms can be attached to your venue so conditions are presented as part of the booking rather than negotiated one at a time.
Paid bookings are enabled once a few things are in place: completed payment setup, a verified claim on the venue, at least one active court, and an active casual price. If your venue is partway through that, talk to us about your setup and we will walk through what is left.
For venue teams
Give your whole team the same picture
Booking information is only useful if the person at the desk can see it. Staff members can be given roles at your venue, so the people running the desk can manage bookings without everybody sharing one login.
Claiming your venue is what tells Courtex you are the operator, and it is how your venue becomes discoverable to the players and clubs already looking for courts. Once it is verified, your courts appear where badminton communities are searching.
If you also run clubs alongside the venue, the club side of Courtex sits next to this one — club management software for organisers covers members, sessions and attendance, on the same account.
Common questions
Badminton court management software — common questions
What is badminton court management software?
Badminton court management software is a single place to run your courts — the courts themselves, their pricing, when they are available and who has booked them — instead of a paper diary, a spreadsheet and a phone that keeps ringing.
What can I manage with Courtex at my venue?
Courts and surfaces, member and casual pricing, price rules for different days and times, booking hours and availability, online bookings, payment, cancellation policies, booking terms and your venue team's access.
Can players book my courts online?
Yes. Players can see availability and make a booking or reservation through an online flow, so it does not depend on someone answering the phone during opening hours.
Can clubs book courts for their sessions?
Yes. A club booking is tied to the session it is for, so the court and the session stay connected rather than living in two separate systems.
How does court pricing work?
You set an hourly rate for each price you offer, and can separate member pricing from casual pricing. Rates are held against the venue, in the currency you choose.
Can I charge different prices at different times?
Yes. Price rules apply overrides based on matching criteria such as days, times and date ranges, and you control the order they apply in with priority.
How do you stop double-bookings?
Before a booking is accepted, Courtex checks that court's existing bookings for an overlap, so the same court and time cannot be sold twice.
Can I take payment online?
Yes — payment runs through Stripe checkout and stays attached to the booking record. Paid bookings need a few things in place first: completed payment setup, a verified venue claim, an active court and an active casual price.
What happens when someone cancels?
Cancellation policies let you define the rules that apply, and the booking is marked cancelled rather than disappearing, so you keep the record.
Can I set terms for bookings?
Yes. Booking terms can be attached to your venue so the conditions are presented as part of the booking rather than negotiated case by case.
Can my team manage bookings too?
Yes. Staff members can be given roles at your venue, so the front desk can manage bookings without everyone sharing one login.
Do I need to claim my venue?
Yes. Claiming and verifying your venue is how Courtex confirms you operate it, and it is one of the requirements before paid bookings can be enabled.
Is there a mobile app?
There is no app to install today — Courtex is web-only, so it runs in your browser on desktop and phone. A mobile version is in development and will be released on Android first, before iOS.
