How to create sessions

This guide walks through the two ways to create sessions on Courtex: creating a session directly, and using session templates for faster repeat setup.

Creating a session from scratch

Step 1 — Navigate to your club

From the dashboard, go to your club page. If you are an organiser, you will see a Create Session button in the club's session management area.

Step 2 — Configure the session basics

Fill in the session details:

  • Name — A label for the session (e.g. "Thursday Night Social").
  • Session type — Choose between Social, Training, Tournament, or Other.
  • Date & time — Set the date, start time, and end time.
  • Location — Select your club's venue or enter a location text.

Step 3 — Set capacity and pricing

  • Max attendees — Limit how many players can RSVP.
  • Price — Optional session fee (leave blank for free sessions).
  • Waitlist — Toggle the waitlist on so latecomers can queue for cancellations.

Step 4 — Publish

Sessions are created as Draft by default. Once you are happy with the settings, publish the session so players can see it and RSVP.

Using session templates

Session templates let you save a reusable blueprint for your regular sessions. A template holds all the settings except a date — so you can spin up a new session in seconds.

Creating a template

  1. In your club page, navigate to Session Templates.
  2. Click Create Template.
  3. Fill in the same settings you would for a session — name, type, time, location, pricing, capacity, notes, etc. — but without a date.
  4. Save the template.

Creating a session from a template

  1. From the template list, click Create Session on the template you want to use.
  2. All the template's settings are pre-filled in the session form.
  3. Add a date and adjust any other fields as needed.
  4. Click Create — the session is ready to publish.

The new session is independent of the template, so you can edit it freely without affecting future sessions.

Future: recurring sessions from templates

Session templates are designed to be the foundation for automated recurring sessions. In future, you will be able to mark a template as recurring (weekly, fortnightly, monthly) and Courtex will auto-generate sessions on schedule — no need to manually create each one.
